Equine Affinity booking & cancellation Policy

- Bookings for corporate events must be made at least 6 weeks prior to delivery date

- Bookings for private workshops close 2 weeks before delivery date

i. Cancellations of Equine Affinity workshops or sessions

(a) a 30% deposit will be requested to secure a workshop. This deposit is non- refundable. The balance of payment will be paid by the specified date and at very latest, two weeks from delivery of the workshop.

(b) Should a client need to cancel, the invoice will be due, in accordance with the following scale:

+ one month – full refund, 1 month – 3 weeks – 40% is due -3 weeks – 100% is due

*Equine Affinity will endeavour to work with our clients to accommodate rescheduling workshops where possible, this of course is subject to early notice and at the discretion of Equine Affinity.

(c) In the rare circumstance that Equine Affinity has to cancel a workshop, a full refund will be given.

(d) If there is a cancellation due to extreme weather conditions (please note: only severe ice/snow will prevent a workshop/session from going ahead), participants will be notified the evening before the workshop. In this rare incidence the balance will be refunded however the deposit will be retained. *This deposit can then be carried over to a rescheduled workshop at a later date.

(e) For courses with multiple sessions, payment for the whole course should be paid in full before the date of the first workshop. Should a client be unable to attend the majority of the course and miss several sessions due to illness or other reasons beyond their control, with notice Equine Affinity will attempt to fill that space and a refund for the remainder of sessions will be given. Should inadequate notice be given and Equine Affinity are unable to fill the space, unfortunately a refund will not be given.

(f) Should a member of a group not be able to attend, it will be the responsibility of the client to find a suitable replacement attendee. Changes should always be informed at the earliest opportunity. Should a replacement not be found the full fee is due. Should the client withdraw the group or be unable to deliver the participants to the sessions, the fee is still due in full.

(g) Walking with horses: these sessions operate on a 48 hour cancellation policy. If a client cancels in less than 48 hours, then full payment is required. In severe weather or in the case of illness, we will endeavour to reschedule.
